Using VE with Gmail: How labels keep your inbox organized and focused

How VE labels work

VE applies one best-fit label per email based on priority. Examples include:

  • 1: To Respond – requires your action

  • 2: FYI – informational

  • 6: Awaiting Reply – waiting for a response

Gmail allows multiple labels, but VE intentionally keeps it simple. One label = less noise and faster decisions.


Inbox placement: where labeled emails go

You control whether emails stay in your inbox or get moved into their respective folders.

  1. Open your VE Proactive Mail

  2. Go to Categorization Settings

  3. For each category, choose how emails behave:

    • Checked → email skips the inbox and appears only under the label

    • Unchecked → email stays in your inbox and carries the label

Tip:
If you want a cleaner inbox, check most categories so those emails automatically file themselves.


Troubleshooting Gmail label issues

If emails aren’t appearing where you expect, try the following:

1. Review your categorization settings

Ensure the correct categories are checked or unchecked in Categorization Settings.

2. Confirm your Gmail integration

Go to Settings → Integrations.
If Gmail isn’t listed as Connected, disconnect and reconnect with full permissions.

3. Search by label in Gmail

Use Gmail queries such as:

label:"1: To Respond"

to locate emails instantly.

4. Check Gmail’s Conversation View

If threads look incomplete or appear split, try toggling Conversation View OFF temporarily to expose hidden messages.


Ensure Conversation View is enabled

VE works best with Gmail’s Conversation View ON.
Without it, emails in the same thread are separated, which can make categories appear inconsistent.

Turning it back on ensures every conversation stays grouped and labeled correctly.


Gmail-specific behaviors

  • Deleted threads: Gmail moves them to Trash for 30 days. If someone replies during that period, Gmail revives the thread and VE re-applies the correct label.

  • Why VE uses one label: Clearer workflows, faster triage, and no overlapping categories.


Quick setup guide

  1. Open your VE Dashboard

  2. Navigate to Categorization Settings

  3. Choose which categories should move emails out of your inbox

  4. Click Update Preferences to save
